1. Controller
БИОТЕНС ЕООД, publicly branded BIOTENCE Ltd., is the controller of personal data processed through biotence.com and the Vietnam Sourcing Desk service. Contact: sourcing@biotence.com.
2. Data we process
From the enquiry form: name, company, work email, telephone or WhatsApp number if provided, country, company website if provided, product or SKU, product link or description, approximate order quantity, annual volume, current sourcing country, current or target buying price, OEM or private-label requirement, required certifications, destination country, next planned order date and notes.
We also record the time of submission, the time of your consent and the website language you used, plus limited technical data necessary to operate and secure the site.
We do not collect payment card data through this website.
3. Purposes and legal bases
We process the data to review your enquiry, reply to you, follow up on the discussion, prepare a scope of work and deliver agreed services. Legal bases under Regulation (EU) 2016/679 (GDPR) are your consent for the initial enquiry and follow-up, the performance of a contract once a scope is agreed, our legitimate interest in operating a B2B service, and compliance with accounting and tax obligations.
4. Recipients
Data may be shared with our hosting and database provider, our email provider, and — where an engagement requires it — with inspection providers, laboratories, freight forwarders or prospective suppliers. We share only what is necessary, and we discuss commercially sensitive specifications with you before disclosure.
5. International transfers
Where a recipient is outside the European Economic Area, for example a manufacturer or inspection provider in Vietnam, transfers rely on the safeguards available under Chapter V of Regulation (EU) 2016/679, including standard contractual clauses or your explicit instruction to contact that party on your behalf.
6. Retention
Enquiry data is retained for as long as needed to respond and to follow up on the business relationship, and thereafter as required by accounting and legal obligations. Data no longer needed is deleted or anonymised.
7. Your rights
You have the right of access, rectification, erasure, restriction of processing, data portability, the right to withdraw consent at any time and the right to object to processing based on legitimate interest. Write to sourcing@biotence.com.
You may also lodge a complaint with the Bulgarian Commission for Personal Data Protection or with the supervisory authority of your habitual residence.
8. Security
Enquiries are transmitted over encrypted connections and stored in a database that is not publicly readable. Access is limited to the people who need it to respond to you.
9. Changes
We update this policy when our processing changes. The current version is always published on this page.
